Option Two: Scan to Skeleton Database

D-M's standard approach offers the following:

  • Scan your documents in order
  • Capture images as single-page TIFFs, multi-page TIFFs, or multi-page PDFs
  • Assign a unique number to each page
  • Return your images, organized in folders on CD-ROM or DVD
  • Prepare a basic database record for each document, normally to include the following searchable fields:
    • beginning and ending IDs
    • date
    • document type
    • author(s)
    • recipient(s)
    • title
  • Send the data and images to you on CD-ROM or DVD, so you can reorganize them as needed and add specialized information to the index
  • Properly number the final administrative record and distribute it to all parties on appropriate media in the appropriate format (e.g., PDF, PDF with searchable text, image-enabled database)
